Position overview:

 

The mission for the Office Administrator / Programs Coordinator is to provide valuable administrative support to the Program & Business Managers located in the Eagle Ottawa Coventry office. You will be in charge or regularly maintaining global info-systems such as pricing, task planning and action closure as well as providing coordination of multiple projects and administration of services and ad hoc tasks which ensure the team can perform effectively.

We are looking for a talent who is organized with effective communication and customer service skills. 

 

Key Responsibilities:

 

  • Coordinating office activities and operations to secure efficiency and compliance to company policies.
  • Manage phone calls, correspondence & visitors.
  • Maintain office contracts, building on supplier relationships.
  • Raise purchase orders against requisitions.
  • Support budgeting and bookkeeping procedures.
  • Manage local office IT equipment, report IT issues, action IT department requests.
  • Maintain HSE Records. Report and review with H&S department: Legislation updates to be actioned, training requirements.
  • Complete weekly fire alarm tests and fire drills twice per year.
  • Provide support to Program Managers & Business Managers in creating internal orders and sample requests for prototype and service parts.
  • Run & review daily sales order reports, co-ordinate actions with Program, Logistics & Finance teams.
  • Customer presentation support.

 

Key skills and Qualifications:

 

  • Flexible and hands on work approach, self-motivator with a desire to show initiative.
  • Ability to communicate at all levels internally and externally.  Work with cross functional teams to meet assigned due dates with extreme accuracy.
  • An organised and strong team player, willing to take on change and support new tasks.
  • Understanding how to multitask and prioritise.
  • Awareness of manufacturing processes.
  • Administration/office manager experience.
  • Proficiency in Microsoft Word, Excel, and Powerpoint.  Ability to quickly learn and use other software packages.
  • Must be able to speak and understand English.
